How to create folders to organize playbooks, tasks, scorecards, and data rooms.

Folders enable custom organization of playbooks, task boards, scorecards, and data rooms.

Folders in Waymaker.io enhance the management and organization of rich content such as playbooks, tasks, scorecards, and data rooms.

By utilizing folders, every organization can create a workspace that is structured and efficient, leading to a more organized working environment.

All users have the ability to view, create, edit, and delete folders to effectively organize their content. Deleting a folder will not delete the content.

Folders are module specific but shared for all

When creating folders think about how your organizations and teams use and share content in Waymaker.

Folders are shared across the entire organization within that module, allowing all users to view and interact with the same structure.

For example, an Admin might create a Playbook folder structure such as:

  • Executive
  • Finance
  • Sales & marketing
  • Support
  • Development Operations

This structure can be different to the folder structure in data rooms such as:

  • HubSpot
  • Azure
  • Spreadsheets

Folders are available in the following areas.

Default folders

Every module with folders has a default folder in which all existing or new content is created.

Create a folder and add items

To create a folder do the following.

  1. Navigate to the module you want to organize (Playbooks, Tasks etc).
  2. Click the button "+ Folder+
  3. Enter a name for the folder in the pop-up.
  4. Go to the edit function of an item (playbook, task board, scorecard etc).
  5. Go to the folder item and type in the name of the folder you wish to add the item to. 

Folder visibility 

Only folders with an item within them will be visible. After creating a folder, add an item.

In addition, a user will only see an item in a folder if they have membership permissions to that item. Therefore, a user might see a folder and it is empty. This means they do not have permissions to the content within the folder. They can add items to that folder.

Edit a folder

To edit a folder's name, click the 'Edit' function on the folder and change the name.

Delete a folder

To delete a folder, click the 'Delete' function on the folder. A prompt will confirm you want to delete the folder. On confirmation content in the deleted folder will be moved to the 'Default' folder.

FAQs

I created a folder but can't see it?
If there are no items, it won't be visible. Add an item. 

What happens to the contents of a folder when it is deleted?
When you delete a folder, the contents are not deleted but moved to the default folder within the same module to ensure no data loss.

Can I move items between different folders?
Yes, you can move items between folders. Just go to the item's edit function and select a different folder to move it to.

Are folder names unique across different modules?
Folder names do not have to be unique across different modules, but it's a good practice to keep names distinct where possible to avoid confusion.

How do I share a folder with a specific team or user?
Folders are shared organization-wide and are not specific to teams or users. However, you can structure your folders in a way that is intuitive for different teams.

Can I restrict access to a folder?
Currently, all folders are visible to all users within the organization for the specific module they belong to. Access cannot be restricted to specific users or teams.

How many items can a single folder contain?
There is no set limit to the number of items a folder can contain, but for optimal organization and ease of use, consider splitting very large collections of items into multiple folders.

Can folders be nested within each other?
The current folder structure does not support nesting. Each folder exists at the same level within its respective module.

How can I quickly find a folder or item within a folder?
Use the search functionality within each module to quickly find folders or items by name.

Is there a way to customize folder icons or colors?
At this time, folders do not have customizable icons or colors. They are designed to maintain a uniform appearance for clarity and consistency.

Can I import or export folders and their contents?
Currently, Waymaker.io does not support direct import or export of entire folders. However, individual items can usually be imported or exported based on the module's capabilities.
